What automated messages go out when a new lead enters the system?

RootLogic fires a sequence of texts and emails the moment a lead submits your form — here's what goes out and when, so you know what the lead is already receiving before you call.

Immediate text within the first few minutes
As soon as a lead submits your form and lands in the Lead Received stage, RootLogic sends an automated SMS within minutes. The text typically thanks them for reaching out, confirms the practice name, and lets them know someone will be calling shortly. This fires automatically — you don't need to do anything to trigger it.

Follow-up email within the first 24 hours
An automated email goes out shortly after the initial text — usually within the same day. It provides more information about the practice and typically includes a link to book a consultation or a prompt to call the office. Both the text and email are set up by Vitality specifically for your practice.

Ongoing nurture touches over 45 days
If the lead doesn't book or respond after the initial messages, the 45-day nurture sequence takes over. Additional texts and emails go out on a scheduled cadence throughout the 45-day window, spaced to stay present without overwhelming. You can see exactly what went out by opening the lead's card and checking the Conversations tab or the contact's Activity feed.

Check the Conversations tab to see what's been sent
Click on any lead's name in the pipeline to open their card, then click Open in Conversations or navigate to the Conversations tab in the left sidebar and search for their name. Every automated and manual message sent to that person appears in the thread with timestamps, so you always know what they've already received before you call.
Important: Automation is the backup — your phone call is the primary move. The system's first text buys you a few minutes, but leads are warmest in the first 5 minutes after submitting. Call while the automation is still warming them up.
Pro tip: Before calling a lead, glance at their Conversations tab. If they've already replied to a text or email, mention it on the call. "I saw you replied to our message — glad you're interested" goes a long way.
