How do I book a procedure after a successful consultation?
Booking the procedure through the calendar flow — not dragging the pipeline card — is what moves the opportunity to Procedure Booked and updates the value to $9,100, which directly trains your ad algorithm.
1
Find the patient in the pipeline or contacts
Go to Opportunities and find the patient's card — they should currently be in the Consult Booked column. Click the card to open it, or search for them directly in Contacts.
2
Click "New Appointment" in the Appointments section
Inside the record, scroll to Appointments and click + New Appointment. Even though this patient already has a consultation appointment on record, you're creating a new appointment for the procedure.
3
Select the procedure calendar from the dropdown
In the Calendar dropdown, select the procedure or surgery day calendar — it will be named something like "FUE Procedure," "Hair Restoration Surgery," or "Procedure Day — Dr. [Name]." Do not book into a consultation calendar for this step; procedure calendars have different block lengths and trigger different automations.
4
Select the date and time slot for the procedure
Use the date picker to find the procedure date the doctor and patient agreed on. Procedure slots are typically longer blocks (half-day or full-day). Select the correct slot and verify there are no conflicts before saving.
5
Save the booking and confirm the pipeline update
Click Save. RootLogic will automatically move the opportunity card from Consult Booked to Procedure Booked and update the opportunity value to $9,100. The patient will receive an automated procedure confirmation. Check the pipeline to confirm the card moved correctly.
Important: The $9,100 opportunity value is not just a number — it's the signal sent back to Google Ads and Meta Ads to tell the algorithm what a real patient looks like. If you drag the card manually instead of using the calendar booking flow, the value does not update and the algorithm trains on incorrect data.
Pro tip: Book the procedure date before the patient leaves the office after their consultation, or on the same call if it's a virtual consult. Procedure booking rates drop significantly once the patient walks out the door or hangs up the phone without a date locked in.
