How do I book an in-person consultation for a lead?
Booking through the calendar flow — not dragging the pipeline card — is what triggers confirmation texts, reminder sequences, and the correct $500 opportunity value update.
1
Open the lead's contact record or opportunity card
Go to Opportunities and click the lead's pipeline card, or go to Contacts and search for the lead by name or phone number. Either path gets you to the same place — you just need to be inside that person's record before booking.
2
Click "Appointments" and then "New Appointment"
Inside the contact or opportunity detail, look for the Appointments section — it may appear as a tab or a card depending on your view. Click the + New Appointment button (or Book Appointment) to open the booking modal.
3
Select the in-person consultation calendar
In the booking modal, use the Calendar dropdown to choose your in-person consultation calendar (it will be named something like "In-Person Consultation" or the doctor's name). Do not select a virtual or phone consultation calendar for an in-office visit.
4
Pick the date and time
The calendar will show available slots based on the doctor's schedule. Select the date from the calendar picker, then click the time slot the patient agreed to. Available slots appear in white; blocked times are grayed out.
5
Confirm patient details and save
Verify the lead's name, email, and phone number are filled in correctly — these are what the automated confirmation message will use. Click Save or Book Appointment. RootLogic will move the opportunity card to Consult Booked automatically and update the opportunity value to $500.
Important: Never drag the pipeline card to Consult Booked manually. Dragging bypasses the automation that sends the confirmation text/email, sets up reminder sequences, and updates the opportunity value. Always book through the calendar flow.
Pro tip: The moment you hang up with a lead who's ready to book, stay on the screen — don't navigate away. Book the appointment before you do anything else. Leads who say "let me check my schedule and call back" book at a dramatically lower rate.
