How do I book a virtual consultation for a lead?

Virtual consultations follow the same calendar booking flow as in-person — just make sure you select the correct virtual calendar so the right video link goes out in the confirmation.

Open the lead's contact record or opportunity card
Navigate to Opportunities and click the lead's pipeline card, or search for the contact directly in the Contacts tab. You need to be inside their record to access the booking modal.

Click "New Appointment" in the Appointments section
Inside the contact or opportunity detail, find the Appointments section and click + New Appointment. The booking modal will open.

Select the virtual consultation calendar from the dropdown
In the Calendar dropdown, choose the calendar designated for virtual consultations — it will be named something like "Virtual Consultation" or "Telehealth Consult." This is critical: selecting the virtual calendar is what triggers RootLogic to include the video meeting link (Google Meet or Zoom) in the confirmation message sent to the patient.

Select the date and available time slot
Use the calendar picker to choose the date, then select an available time slot. Virtual consult availability may differ from in-person availability if the doctor has separate calendar blocks set up for each type.

Confirm contact details and save the booking
Double-check the patient's email address — the video link will be delivered there. Click Save. RootLogic automatically moves the opportunity to Consult Booked, updates the value to $500, and sends the confirmation with the virtual meeting link.
Pro tip: After booking, let the patient know they'll receive a confirmation email or text with the video link and to check their spam folder if they don't see it within a few minutes. One quick heads-up on the call prevents a "I never got the link" call the day before the appointment.
Important: If you accidentally book a virtual consult on the in-person calendar (or vice versa), the wrong confirmation goes out — the patient may show up in person expecting a video call, or vice versa. If this happens, cancel the appointment and rebook on the correct calendar immediately.
