How do I select the right calendar (consultation type, doctor, procedure)?

Choosing the correct calendar matters — the wrong selection sends the patient the wrong confirmation, wrong meeting link, or blocks the wrong doctor's schedule.

Know what you're booking before you open the modal
Before clicking into the calendar dropdown, have three things clear: (1) is this a consultation or a procedure, (2) in-person or virtual, and (3) which doctor or provider. Those three answers tell you exactly which calendar to pick. If any of those are unclear, get them from the patient before proceeding.

Open the booking modal and click the Calendar dropdown
Inside the contact or opportunity record, click + New Appointment to open the booking modal. The first field you'll see is the Calendar dropdown. Click it to see all available calendars configured for your practice.

Match the calendar name to the appointment type
Calendars are typically named in a format like "In-Person Consultation — Dr. Smith," "Virtual Consultation," or "FUE Procedure — Dr. Smith." Select the one that matches your visit type and provider. If your practice has multiple doctors, make sure you pick the correct physician — their availability populates from their individual calendar.

Use the procedure calendar only after a consultation is completed
Procedure calendars are for patients who have already had their consultation and are ready to schedule surgery or a treatment day. They typically show longer block times on the calendar. Never book a new lead into a procedure calendar — they haven't been evaluated yet.
Pro tip: If you're ever unsure which calendar to pick, check with your office manager or contact your RootLogic account manager at VMMG to confirm the calendar setup. It's a 30-second question that prevents a lot of confusion for the patient.
Important: If your practice only has one doctor, you may only see one calendar per appointment type. If a calendar you expect to see is missing from the dropdown, let your account manager know — it may not have been configured yet.
