What do the different calendar options in the dropdown mean?

Each calendar in the dropdown controls which doctor's availability shows, which confirmation message the patient receives, and which automations fire after the booking.

In-Person Consultation calendars
These are the most common calendars you'll use. They represent blocks of time when a specific doctor is available for face-to-face evaluations at your practice location. When you book one, the patient receives a confirmation with the practice address. If your practice has multiple physicians, you'll see a separate in-person calendar for each one.

Virtual Consultation calendars
Virtual calendars are tied to telehealth or video appointment slots. When you book one, the patient's confirmation automatically includes a Google Meet or video link. The availability may differ from in-person availability if the doctor reserves specific days for virtual-only consults. Use these for patients who are out of the immediate area or who specifically requested a video consult.

Procedure / Surgery Day calendars
These calendars are for patients who have completed their consultation and are ready to schedule their hair restoration procedure or treatment. Procedure slots are typically full-day or multi-hour blocks. Only book into these after the consultation has taken place and the patient has committed to moving forward.

Phone Consultation or Screening calendars (if present)
Some practices configure a short phone screening calendar for leads who want to speak with a coordinator before committing to a full in-person visit. These are shorter slots (15–20 minutes) and are used as a pre-qualification step. Check with your office manager to confirm whether your practice uses this type and when it's appropriate.
Pro tip: If you see a calendar in the dropdown with a name you don't recognize, don't guess — ask your office manager before using it. Booking into the wrong calendar type causes a mismatch between what the patient expects and what they receive in their confirmation.
