How do I cancel a consultation?

Canceling correctly in RootLogic clears the calendar slot, stops the reminder sequence, and keeps the pipeline clean — while preserving the contact record for future follow-up.

Open the patient's contact record or opportunity
Search for the patient in Contacts by name or phone number, or find their card in the Opportunities pipeline under Consult Booked. Open the record to access their appointment details.

Find the appointment in the Appointments section
Scroll to the Appointments section inside the contact or opportunity record. Click the appointment you need to cancel to open it.

Click Cancel Appointment and confirm
Inside the appointment detail, click the Cancel button (it may appear as a red button or a dropdown option labeled "Cancel Appointment"). You'll be asked to confirm — click Yes, cancel. RootLogic will remove the time block from the calendar and stop any pending reminder messages for that appointment.

Update the pipeline card and write a note
After canceling, decide where this lead belongs on the pipeline. If they want to reschedule later, move the opportunity card back to Hot Lead (drag is fine for this move). If they're no longer interested, you can delete the opportunity — the contact record stays. Either way, write a brief note: "Canceled [date]. Reason: [patient's reason]. Follow up on [target date] if applicable."
Pro tip: If the patient canceled but said they want to reschedule "in a few weeks," set a task reminder on the contact record for 2–3 weeks out. Don't rely on memory — the task will surface it for you automatically.
Important: Canceling the appointment does not delete the contact record or the opportunity. The contact record is permanent. Only delete the opportunity itself if this lead is definitively done — and even then, the contact record is preserved in case they return later.
