How do I reschedule a consultation?

Rescheduling through RootLogic updates the calendar, fires a new confirmation to the patient, and resets the reminder sequence — all from one place.

Find the patient's contact record or opportunity
Go to Contacts and search for the patient by name or phone number, or find their card in the Opportunities pipeline under Consult Booked. Open the record to see their existing appointment.

Locate the existing appointment in the Appointments section
Inside the contact or opportunity record, scroll to the Appointments section. You'll see the existing appointment listed with its current date and time. Click on the appointment to open it.

Edit the appointment and select the new date/time
With the appointment open, look for the Edit or pencil icon. Click it to enter edit mode. Use the date picker to select the new date the patient requested, then pick the new time slot. The calendar will show updated availability.

Save the updated appointment
Click Save to confirm the reschedule. RootLogic will automatically send the patient a new confirmation message with the updated date and time, and the reminder sequence will reset to fire based on the new appointment date.

Add a note to the contact record
After rescheduling, write a quick note on the contact record — "Rescheduled per patient request from [original date] to [new date]. Reason: [brief reason if given]." This gives whoever handles the next touchpoint full context without having to dig through messages.
Pro tip: When a patient reschedules, confirm the new date back to them verbally before you hang up, even though the automated confirmation will go out. "I've moved you to Thursday the 26th at 2pm — you'll get a text confirmation in just a moment." It closes the loop and reduces inbound calls asking "did my appointment change?"
Important: Do not cancel and rebook as a workaround for rescheduling — use the edit function on the existing appointment. Canceling and rebooking can sometimes duplicate records or confuse the pipeline state. Edit in place whenever possible.
