How do I use RootLogic data to prepare for my monthly performance review with VMMG?

Walking into your monthly review with five numbers ready makes the conversation faster and helps VMMG make better decisions about your campaigns.

Pull your Opportunities report for the prior month
Go to Reporting → Opportunities and set the date range to the first and last day of the prior month. Note these four numbers: total leads received, leads moved to Hot Lead, leads booked as consultations, and leads booked as procedures. These are your pipeline funnel numbers.

Pull your Appointments report
Go to Reporting → Appointments with the same date range. Note your total booked, total showed, and no-show count. Your show rate (showed ÷ booked) is one of the first things VMMG will ask about — a low show rate often means reminder messages need adjustment.

Note any pipeline anomalies you noticed during the month
Before the call, look at your pipeline in Pipelines and flag anything unusual: a batch of leads that came in and went silent, a spike in After Hours Chat leads on a particular day, or leads that sat in Lead Received for more than 2 weeks. VMMG can cross-reference these against campaign changes on their end.

Count procedures booked and their source if known
In Reporting → Opportunities, filter by Won status to see how many leads reached Procedure Booked. If you remember which ones came in via Google Ads versus word-of-mouth, note that — VMMG uses this to validate the offline conversion data they receive from RootLogic.

Write down your one biggest operational question
Before the call, write down the one thing about lead flow or pipeline management that has been most frustrating or confusing during the month. Monthly reviews go much faster when the practice team comes with a specific question rather than a general "things seem fine."
Pro tip: Keep a simple running note each week — just 2–3 sentences about what happened with leads that week. By the time the monthly review rolls around, you'll have a clear picture of the month without having to reconstruct it from memory.
