A lead's consultation went well but they want to wait 3+ months for the procedure. Where do I put them?

A motivated patient who wants to wait for the right timing is still a high-value lead — the system work here is about keeping them warm and surfacing them when their window approaches.

1
Leave the card in "Consult Booked" — do not move it forward yet
The procedure hasn't been scheduled, so the card should stay in Consult Booked. Do not drag it to Procedure Booked — that stage is for confirmed, calendared procedures. Moving it early would inflate your procedure pipeline numbers and misrepresent the opportunity value to the ad algorithm.
2
Write a detailed note with their timing and reason
In the contact record, add a note with the specific detail: "Consult complete. Ready to proceed but waiting until [month/reason — after vacation, after wedding, after busy work season, etc.]. Doctor recommended [X grafts, FUE]. Strong candidate. Follow up [specific month]." The reason they're waiting matters — it tells you exactly when to reconnect.
3
Set a future follow-up task for the right date
In the contact record, click + Add Task and set a due date roughly 2–3 weeks before they said they'd be ready. Name it something specific: "Follow-up — ready after August trip, wants to book fall procedure." This is the only reliable way to ensure this lead doesn't fall through the cracks over a 3-month horizon.
4
Book the procedure through the calendar when they're ready
When the time comes, reach out per your follow-up task, confirm they're ready, and book the procedure using the calendar booking flow in Calendars. At that point, the pipeline card moves to Procedure Booked automatically via the booking — never by dragging.
Pro tip: Ask them before they leave the consult: "Would it be helpful if I reached out in [month] to get you on the schedule?" Getting a yes turns your future follow-up call from a cold check-in into an expected, welcome call. It changes the entire dynamic.
