How do I remove a team member who left the practice?

Remove departed staff from RootLogic on their last day — an active login that belongs to someone no longer at the practice is a security risk.

Open Settings and navigate to My Staff
Click the gear icon (⚙) at the bottom of the left sidebar to open Settings. In the left-hand settings navigation, click "My Staff" to see the full list of active users on your account. You need Admin access to deactivate or remove users.

Find the departed team member's profile
Scroll through the staff list or use the search bar to find the person. Click their name or the edit icon (pencil) next to their listing to open their user profile.

Deactivate or delete their account
On their user profile, look for a "Deactivate" or "Delete User" option — typically in the top-right corner or at the bottom of their profile page. Deactivating suspends their access without removing their activity history. Deleting permanently removes the user. For most departures, deactivating is safer since it preserves any notes or call logs tied to their account.

Reassign any open leads they owned
Before or after deactivating, check whether the departing team member was the assigned user on any open pipeline opportunities. In the Pipeline view, filter by their name if that option is available, or scroll through Lead Received and Hot Lead looking for their assigned cards. Reassign those opportunities to an active team member so no leads go unworked.
Important: Do this on the day the team member leaves, not a week later. An active login for a former employee means they can still access contact data, conversation history, and lead information. Treat RootLogic access the same way you'd treat an office key — collect it on the last day.
Pro tip: If you're not sure who to reassign their leads to, temporarily assign them to the practice owner or office manager. It's better to have a lead sitting with the wrong person who will notice it than sitting with a deactivated account where it's invisible.
