Does the patient receive an automated confirmation when I book them?

Yes — the moment you save a booking through the calendar flow, RootLogic fires an automated confirmation and kicks off a reminder sequence automatically.

What fires immediately after booking
As soon as you click Save on a new appointment, RootLogic sends the patient an automated booking confirmation via SMS and/or email (depending on your practice's configuration). The confirmation includes the appointment date, time, and location — or a video link if it's a virtual consultation. This happens within seconds; the patient doesn't have to wait.

What happens in the days before the appointment
RootLogic also enrolls the patient in an automated reminder sequence after booking. Typically this includes a reminder 24–48 hours before the appointment and a day-of reminder. These fire automatically — you don't need to send them manually. The exact timing depends on how your practice's automations are configured.

Why this only works through the calendar booking flow
These confirmations and reminders are triggered by the booking event itself. If you manually drag a pipeline card to Consult Booked instead of using the calendar, no confirmation fires — the patient receives nothing, and no reminder sequence starts. This is the most common reason patients show up confused or not at all.

How to verify a confirmation was sent
After booking, open the patient's contact record and click the Conversations tab. You'll see the outbound confirmation message in the SMS or email thread, including the timestamp. If it's not there within a minute or two, check whether the patient's phone number and email are correctly entered on their contact record.
Pro tip: After you confirm the booking with the patient on the phone, tell them: "You'll receive a text confirmation in the next minute or two — keep an eye out for it." It sets the expectation and gives you a natural conversation close.
Important: If a patient's DND (Do Not Disturb) is turned on, the confirmation will not be delivered. Check the contact record for the DND toggle before booking, and if it's on, confirm the appointment verbally before ending the call.
