How do I mark a lead as a no-show?

Marking a no-show correctly in RootLogic triggers the automated recovery sequence — skipping this step means the system can't help you win them back.

Find the contact in the Contacts tab
Click Contacts in the left sidebar and search for the patient's name or phone number. Click their name to open the contact record.

Scroll to the Appointments section
On the right side of the contact record, find the Appointments section. You'll see a list of all past and future bookings for this person, with their current status shown next to each one.

Click the appointment status and select No Show
Find the missed appointment in the list. Click the status indicator (it may say "Confirmed" or "Booked") to open the dropdown. Select No Show from the options. RootLogic will save the change immediately.

Confirm the no-show automation has been triggered
After marking No Show, check the contact's Activity tab. Within a few minutes you should see an automated message queued or sent — this is the no-show re-engagement sequence starting. If you don't see activity after 10 minutes, contact your account manager.
Important: Do not delete the appointment or the pipeline card. Marking No Show keeps the contact in the system so the automation can follow up. Deleting removes them from the recovery sequence entirely.
Pro tip: Mark the no-show within 30 minutes of the missed appointment time — the sooner the automated follow-up fires, the better the recovery rate.
