Duplicate records split a lead's history across two profiles — merging them keeps all notes, calls, and messages in one place so nothing falls through the cracks.

Find the duplicate by searching Contacts
Click Contacts in the left sidebar, then use the search bar at the top to look up the person by name, phone number, or email. Identify which two records are duplicates before you proceed.

Open the contact record you want to keep as the primary
Click into the contact you want to be the "winner" — typically the one with more complete information or the longer history. This is the record that will survive the merge.

Open the Actions menu and select "Merge Contact"
Inside the contact record, click the three-dot More Actions menu (top right of the contact detail panel). Select Merge Contact from the dropdown.

Search for and select the duplicate record to merge into this one
A search box will appear — type the duplicate contact's name or phone to find them. Click their name to select them as the contact to be merged and removed.

Confirm the merge
RootLogic will show you a preview of what will be merged. Click Confirm Merge. The duplicate record is deleted and all its notes, messages, and activity are pulled into the primary record.
Important: Merging is permanent and cannot be undone. Double-check you have the right two records selected before confirming — the secondary contact and its pipeline cards will be removed.
Pro tip: Duplicates most often happen when a lead submits a form twice or calls in separately. If you search for a new lead and find two records before merging, check which one has the active pipeline opportunity and make that one the primary.
