How do I update contact info when I only have a phone number?
Sometimes a lead comes in as just a phone number — no name, no email — and you need to fill in the rest after a call or text exchange. Here's how to find that partial record and complete it.

Search for the contact by their phone number
Go to Contacts in the left sidebar. In the search bar, type the phone number — you can enter the full 10-digit number or just the last 4 digits. RootLogic will match any contact with that number, even if the name field shows "Unknown" or was auto-filled as the number itself.

Open the contact record and click into the Name field
Click the contact's name (or the number if that's what it shows) to open the full record. Click into the First Name and Last Name fields to edit them. Type the person's actual name and click Save or press Enter.

Add their email address in the Email field
Click the Email field on the contact record. If it's blank, click on it to open the editor and type their email address. Save. This unlocks email sending and ensures the automated nurture sequence can reach them by email as well as text.

Add any other details you collected from the conversation
While you're in the record, fill in any other details you gathered — city or zip code, how they heard about the practice, or any notes from the call. The more complete the record, the better your team can serve them on any future contact.
Pro tip: If a lead came in from a chat widget or an online ad, they may have only left a phone number. Make it a habit during the first call to ask "Can I get a good email address for you as well?" — getting that email on file dramatically improves the automated follow-up success rate.
